Case Study
The Problem
Our customer is a unit of a very large State Government Department. One of their key office locations houses 3 floors and the Facilities Management team had no idea how well the site was being attended by staff. They were considering either consolidating space to reduce their leasing requirements or potentially closing other sites and relocating staff to this building. They knew that access control systems would not provide accurate data given the number of staff who follow each other in and out of each floor without the need to scan security passes.
They needed highly accurate data with flexible reporting views that would allow them to make an informed decision on what next steps may be.
Our Approach
A technology based solution that properly tracked activity on all floors 24 x 7 would deliver the best results. A manual occupancy study would not deliver the depth of data required and was not cost effective or accurate. Installing occupancy sensors to cover every desk in the building would provide the most granular data however this would also come at a significant cost. For a fraction of the cost we installed sensors at all entry and exit points which would count people as they entered and exited multiple doors on each floor. The sensors on each floor were virtually meshed so an accurate count per floor was maintained no matter which doors were used. Our sensors connect to a dedicated gateway which means we did not need to touch any of our customer's I.T. infrastructure allowing expedited approval. This approach would deliver highly accurate, real-time insights across building, floor, day of week and time of day. Our customer could choose to have scheduled reports delivered or login to our analytics engine and review data on demand.
Key Highlights

Peak occupancy across the entire building for the 6 month reporting window was 67%. This represents the highest level of occupancy at any point during the reporting window and means when the building is at its fullest, there are still 134 seats vacant. This represents an opportunity saving of over $1M per annum.

The highest occupied floor reached a peak of 82% and the lowest 58%

Monday - Wednesday are the best attended days on each floor. Thursday and Friday drop off significantly with Friday falling as low as 46%, 29% and 26% for each floor.

The customer was able to use our reporting system to run various scenarios including changes to the days that staff work, closing off a floor, bringing in staff from other buildings and more.

The customer has the option to deploy a number of desk sensors to determine behaviour of specific teams or zones on each floor to aid more detailed analysis and decision making.

The customer was also able to use occupancy data to request changes to air-conditioning start and end times with the building owner.
